Tiba Biotech is a preclinical stage biotechnology startup that emerged from government-funded RNA vaccine research at MIT in 2018. We focus on novel RNA therapeutics across a number of diseases to create the next generation of RNA medicines. Founded by an accomplished team of scientists and entrepreneurs, we are a fast-paced, young company that is actively seeking to grow our team and expand our business operations. We are seeking a part-time Administrative Assistant with strong organizational and computer skills to support our Finance and Administration team. The successful candidate will be responsible for routine accounting tasks, data entry, maintaining electronic and paper filing systems, providing administration support to project teams, contacting and scheduling vendors and service providers, and similar tasks required to operate in a highly productive work environment. He or she must have the ability to independently organize their work schedule around daily tasks, ensure good recordkeeping practices, and work collaboratively in a multidisciplinary team including scientists and administrators in a fast-paced startup environment. 

Responsibilities 

  • Providing clerical support as needed in the business, under the guidance of company executives and office managers 
  • Assisting Finance team with routine accounting and billing tasks 
  • Processing payments to partners, suppliers, and third-party vendors 
  • Ensure accurate and timely processing of accounts receivable and payable transactions 
  • Maintaining updated records of invoices and receipts 
  • Analyze transaction records to comply with financial policies and procedures 
  • Entering invoices, bills, purchase orders and other transactional information into company accounting system 
  • Preparing correspondence, memoranda, reports, spreadsheets, and presentations as directed 
  • Front office reception for routine deliveries and meeting and greetings 
  • Sorting and distributing mail and packages 
  • Sorting and filing records, data entry 
  • Scanning and archiving documents 
  • Preparing shipments for external collaborators 
  • Day to day office management 
  • Cleaning and organizing storage areas and filing cabinets 
  • Contacting vendors and service providers to complete purchases and schedule services 
  • Ordering office supplies and laboratory consumables using procurement systems 

Qualifications 

  • High school diploma or equivalent, preferably with minimum 1 year experience in biotechnology or similar sector 
  • Advanced knowledge of Microsoft Suite including Word, PowerPoint, and Excel 
  • Experience with accounting software (Quickbooks, Freshbooks, Netsuite or other ERP/Accounting systems) 
  • Excellent administration skills 
  • Strong organizational skills and attention to detail 
  • Ability to work under pressure and meet deadlines 
  • Professional manner with strong verbal and written communication skills 
  • Must be able to lift up to 50lbs (for dry ice shipments and package deliveries) 

Compensation 

  • $20-35 per hour, commensurate with education and experience
